Projects (User Manual)

A Project represents a discrete public works initiative or training course that sits within a Program. Projects allow program managers to organise benefit delivery by activity and/or location — for example, a road construction project in Kilifi District, or a nutrition training course in Village B.

Each project defines the scope of participation: which beneficiaries are enrolled, what activity they perform, and how many working days are expected. Timesheet records are entered at the project level and form the basis for conditional payment calculations.

Key Concepts

  • A Project belongs to exactly one Program

  • A Project has one Activity (the specific task or session beneficiaries participate in)

  • A Project has a Location — this can be at any administrative level: region, district, municipality, or village

  • A Project moves through a lifecycle: Preparation → In Progress → Completed

  • The "Allow beneficiaries to enroll in multiple projects" setting controls whether a beneficiary can be enrolled in more than one project under the same Program simultaneously:

    • Yes — a beneficiary may participate in multiple projects concurrently (e.g., attending two training courses at the same time)

    • No — a beneficiary can only be active in one project at a time within a Program

Payroll Note

Payroll can only be generated for projects in Completed status.

Functions Available

  • Create, edit, soft-delete, and restore projects

  • Enrol beneficiaries into a project

  • Enter timesheet data for enrolled beneficiaries
